Build the estimate before the bookings
A useful group holiday budget starts with decisions, not a single per-person number. Write down the shared costs the group has already agreed to, then list likely costs that are still optional. Keep personal spending separate from costs everyone is expected to share.
Four budget buckets to start with
- Getting there: group transport, airport transfers or a rental car. Keep each traveller's own flight separate unless you explicitly split it.
- Staying there: accommodation deposits and shared nights. Decide whether the split is by person, room or nights stayed.
- Doing things: tickets and activities. Count only the participants who have chosen to join.
- Eating together: groceries or a group meal. Agree in advance whether personal meals remain individual.
Turn a group total into a useful per-person estimate
For costs that really are shared equally, divide the shared estimate by the number of participating travellers. Keep costs with different participants in their own bucket: if only four of six people book a guided activity, divide that activity by four, not six. This small distinction makes a “per person” estimate honest rather than falsely precise.
Add a contingency for costs you cannot yet know, such as local transport or a change to the plan. Label it as an estimate instead of mixing it with confirmed bookings. When a deposit is actually paid, record the payer and the people included; the planned budget and the expense ledger answer different questions.
