How to send personalised cold email from your Mac

Personal outreach is not about sending the biggest list. It is about making the reason for contact clear, relevant and easy to answer.

1. Import a focused CSV

Start with a list you can explain. Include email, first name, company, role and a short note about why the person is relevant. Do not treat a purchased or scraped list as permission to send.

2. Map and review contacts

Map the columns before importing and inspect a sample. Correct names, remove duplicates and suppress people who should not receive the message.

3. Preview every message

Use one clear subject and write a short opening that proves the message is meant for this person. Preview the rendered result before the queue starts.

4. Send slowly from your mailbox

Configure your SMTP account, test it, set a conservative daily cap and use a delay between sends. Your mailbox reputation matters more than an impressive dashboard number.

5. Automate only useful follow-ups

Two or three respectful follow-ups are usually enough. Add new information or a simple question instead of repeating the first email.

6. Stop when someone replies

A reply changes the job from sending to conversation. Pause follow-ups, classify the response and handle opt-outs immediately.
