A good handover does not need to be a binder. It needs to help another person act calmly: who to call, where the carrier is, what “normal” looks like, and which instructions came from your veterinarian.

Start with contacts, not a long biography

Put your preferred contact first, then a local backup who can make decisions if you are unreachable. Add the regular veterinary practice and the nearest emergency clinic, including phone numbers and addresses. Confirm the clinic details before each trip; a familiar name is not useful if the number has changed.

Make routines observable

Instead of “feed as usual,” write the food, portion, timing and where it is stored. Note the ordinary walk route, the door or gate routine, and any known triggers. A sitter can follow a concrete instruction; they cannot infer a household habit from a vague sentence.

Medication notes must match the vet’s directions

Record the exact product name, prescribed amount, schedule, route, storage requirements and the veterinarian’s instructions. Do not invent a missed-dose rule or change a dose in the handover. Ask your veterinary team what the sitter should do if a dose is missed or your pet refuses it.

Tell the sitter what counts as urgent

List practical warning signs you have discussed with your vet and the agreed next step. Include permission and payment arrangements for emergency care, where relevant. Keep this factual and specific to your pet; a handover sheet is not a substitute for veterinary advice.

Leave the record easy to update
