Plan staff coverage before you start assigning shifts.
A reliable rota begins with the work that needs to be covered. Use this short method to turn opening hours, roles and availability into a schedule your team can understand.
A five-step coverage method
Start with the work, not names
Write down opening hours, busy periods and the work that must happen. This keeps the rota tied to service needs rather than whoever replies first.
Set minimum coverage by role
For each period, note the minimum number of people and the skills needed. A headcount alone can hide a missing opener, closer or qualified person.
Collect real availability
Separate unavailable times from preferences. A preference can be negotiated; an unavailable time should not be assigned by accident.
Place fixed commitments first
Add leave, training, recurring appointments and known events before filling flexible shifts. The remaining gaps become visible early.
Check the finished pattern
Look for uncovered periods, double-bookings, excessive run of days and awkward overnight boundaries before publishing.
Check the numbers
