How to schedule part-time staff without the guesswork.
Part-time scheduling is a coverage puzzle with smaller windows. Start with the hours people can work, then balance the service requirement against preferences and limits.
Capture the boundaries first
Ask for the exact available windows, not a vague “mostly free.” Record unavailable times, requested days and any maximum or minimum hours that affect the assignment.
The times a person can actually start and finish.
A class, second job or commitment that cannot be assigned over.
A request to consider without treating it as a promise.
Build coverage before filling every hour
Identify the busiest periods and essential roles first. A complete-looking rota can still fail if the right skill is missing at the moment customers need it.
Review the trade-offs openly
When every request cannot be met, keep the reason visible and apply the same rules across the team. A clear review loop is easier to trust than a silent spreadsheet edit.
