
Check the record before you write
Confirm the invoice number, issue date, due date, amount and payment instructions. Check whether a payment or credit has already arrived. If the due date has not passed, frame the message as a status check or resend, not as an overdue notice.
Use a neutral opening
Assume the message may have been missed or routed to the wrong person. A neutral tone preserves the relationship and makes it easier for the client to tell you if something needs correcting. Keep the subject line recognizable by including the invoice number.
