Handle last-minute shift changes without chaos.
Absences and swaps happen. The goal is to replace a frantic message chain with a short sequence that confirms the gap, finds a workable person and leaves the rota current.
Use a four-step change process
- Confirm the gap. Identify the exact date, time, role and location.
- Check constraints. Look at availability, rest and any required skill before asking everyone.
- Confirm the swap. Get a clear yes from the replacement and the person handing over.
- Publish the change. Update the current schedule and record what changed.
Do not let the old version survive
The most expensive part of a change is often the uncertainty after it. One person reads the new message, another opens last week’s screenshot and the gap appears again. Treat the published rota as the source of truth.
