SMALL TEAM / SHIFT SCHEDULING / ROTA
Shift scheduling for a small team should stay understandable.
When five or twenty people share changing availability, the hard part is not drawing a calendar. It is making a decision everyone can trust, then keeping the published answer current.
Request Shift Helper early access ↗A focused workflow for small operators
Shift Helper keeps the scheduling loop short: collect availability, define the coverage you need, review conflicts and publish one rota. It is intended for cafés, studios, clinics, shops, nonprofits and service teams rather than enterprise workforce departments.
Keep requests and decisions together instead of rebuilding a spreadsheet from chat messages.
See which roles or periods need attention before assigning the next person.
Make the published rota the reference point when a swap or absence changes the week.
How to schedule a small team
- List the periods and roles that must be covered.
- Collect available, blocked and preferred times.
- Resolve gaps, overlaps and fairness concerns with the owner.
- Publish the rota and record approved changes.
Start with the team-of-five workflow or download the weekly schedule template while you decide.
Small team scheduling without enterprise overhead
You do not need forecasting, payroll and a large admin suite to answer a simple question: who is working, when, and in which role? Shift Helper is being designed as an Apple-first option for owners who want a clear rota across Mac, iPhone and iPad.

Common small-team questions
Is this suitable for a team of five?
Yes. The workflow is intentionally sized for small teams where the owner still reviews availability and coverage personally.
Can we keep using a spreadsheet while we test it?
Yes. A weekly CSV template is available, and the product pages explain when a shared sheet starts becoming difficult to maintain.
Does it replace a payroll system?
No. Shift Helper focuses on availability, coverage, rota decisions and clear changes; it is not presented as payroll or workforce-management software.
