A Simple Email Triage Workflow for Mac

Email triage is not the same thing as reading everything. It is a short decision process that protects attention: what deserves a reply, what needs a later pass, and what can leave the visible queue?

Use four passes

The first pass is a scan. Look at the sender, subject and context. Not every message deserves an immediate opening, especially when the inbox mixes receipts, updates, requests and real conversations.

The second pass is a decision. Reply now if the answer is short and useful. Schedule it if it needs thought. Archive it if there is no action. Keep it visible if someone is waiting for a decision you own.

The third pass is writing. Answer the actual question before polishing the tone. A clear three-line reply often creates more progress than a perfect draft that stays in the inbox for three days.

The fourth pass is revisit. Important threads should be easy to find, but they should not keep shouting while you work on something else.

An inbox full of individual messages makes context expensive. A conversation view keeps the question, answer and next step together. That is particularly useful for client work, support and personal correspondence where the meaning is spread across several replies.

Choose a review window
