Late arrivals make group-trip maths harder because not every person used the same parts of the trip. The fair answer is usually not to divide the final total evenly. Separate shared commitments from costs that belong only to the people who used them.

Divide the fixed costs first

Accommodation deposits, a shared rental car or a group booking may exist before everyone arrives. Agree whether those costs are shared by the whole group or only by the people covered by the booking. Write down the rule before the trip, while it still feels neutral.

Track nights and activities separately

Someone arriving on Friday should not automatically pay the same accommodation share as someone arriving on Wednesday. Record the nights, tickets, meals and optional activities separately. If someone skips an activity, do not bury that exception in a final total that nobody can explain.

Keep one person from becoming the ledger

The organiser can record payments, but they should not have to reconstruct every exception from a group chat. Add who paid, what the payment covered and whether it was shared or personal. Settle the simple items as you go and leave only the genuinely shared balance for the end.
