How to Plan a Group Trip When Friends Have Different Budgets
A realistic group-trip planning method for friends with different budgets, priorities and arrival plans, including shared costs and optional activities.

The hardest group-trip conversation is often not where to go. It is how much the trip should cost each person. Friends may have different incomes, different expectations and different reasons for joining. A good plan makes those differences visible early instead of turning them into awkward surprises at the end.
Separate shared costs from choices
Begin with the costs everyone needs: accommodation, transport between shared locations and any group booking that cannot be avoided. Then list optional choices separately: a special dinner, an excursion, a private room or an upgrade.
This gives people a way to say yes to the trip without silently agreeing to every activity. It also makes the final balance easier to understand because optional spending has a clear owner.
Use a realistic range
Do not plan around the cheapest possible version of every item. Use a low and high estimate for accommodation, food and activities, then agree on the range before anyone pays a deposit. The range is more honest than a precise total that changes immediately.
For a trip with different arrival times, keep the shared itinerary separate from personal travel. Everyone can see when the group is meeting without pretending that every flight or meal is shared.

Agree on the settlement rule
Choose how you will settle before the first shared payment: one organiser collects, each person pays their share as you go, or the group settles once at the end. Record who paid and whether an item was shared or optional.
The aim is not perfect accounting. It is a plan everyone can understand and a trip where one person does not become the unpaid administrator.
